Discord member retention: find regulars who went quiet before they are gone

Churn Radar watches for regulars who stop showing up: members who were active on many days and then went silent. Your staff get one summary with the names, the console shows who is at risk, an optional win-back DM invites them back, and members who return can get a welcome-back role or coins. It uses the activity counters Insights and Levels already keep, so there is no new tracking.

What you get

Finds the right people

Only members who were active on enough days before going quiet are flagged, for example 8 of the last 30 days and then 14 days of silence. Lurkers and long-gone accounts are left out.

One staff summary

After each scan, one alert lists the regulars who went quiet, how long they’ve been silent and how active they were before, with an optional role mention.

Win-back DM, off by default

If you turn it on, the bot sends a friendly DM in your words. Every DM has a Don’t message me again button, at most one per member every 90 days.

Welcome-back rewards

When a flagged member writes or joins voice again, they can get a welcome-back role and Bank coins, paid once, and staff get a return note.

Track who came back

Return rate, members who came back, win-back rate among those contacted and members lost, with a weekly chart of who went quiet and who returned.

Respects opt-outs

Members who opted out of Insights are never scanned. Bots, excluded roles and members who already left are skipped. No message content is ever read.

How it works

  1. Enable Churn Radar

Open https://console.botgg.app, choose your server and switch on Churn Radar in the Community section. It needs Server Insights or Levels to be on, because it reads their daily activity.

  2. Define a regular

Set how many active days in which window make a regular and how many quiet days count as going quiet. The settings show the rule in plain language.

  3. Choose alerts and rewards

Pick the staff channel and role to mention, the welcome-back role and coins, and, if you want, write the win-back DM with a live preview.

  4. Act on the list

The At risk tab lists open cases with their activity. Mark someone as contacted after a personal message, or dismiss them. Returns close cases by themselves.

Catch the quiet ones before they leave

Most members don’t leave a server with a goodbye; they just stop coming. By the time anyone notices, they have muted the server or left it. Churn Radar scans a few times a day and flags only members who were really part of the community and then went silent, so the list is short enough to act on.

Each quiet spell is one case: at risk, contacted, then closed as returned, dismissed, lost after 60 days, or left. A member who comes back by writing a message or joining a voice channel closes the case on the spot and gets the reward you set, exactly once.

Win-back messages that respect members

The win-back DM is off until you switch it on. You write it with the same message builder as Announcements, with placeholders such as the member’s name and the number of quiet days, or use the default text. It never pings anyone, says which server it comes from, and carries a Don’t message me again button that works even after the feature is turned off.

Members get at most one win-back DM every 90 days, and the server has a daily cap: up to 5 DMs a day on the Free plan and 25 on Pro. Churn Radar has no slash commands; everything lives in the console and runs automatically.

Frequently asked questions

How do I see which Discord members stopped being active?

Enable Churn Radar in the BotGG console. It flags members who were active on many days and then went quiet for the number of days you choose, posts a summary for staff and lists everyone at risk in the console.

Does Churn Radar DM members automatically?

Only if you turn the win-back DM on; it is off by default. Each DM has a Don’t message me again button, a member gets at most one every 90 days, and there is a daily cap per server.

What do I need to use it?

Server Insights or Levels must be on, because Churn Radar reads the daily activity they already count. For welcome-back coins the Bank must be on too.

What counts as an active day?

A day in your server’s time zone with at least one message or one minute in a voice channel. Bots, members with an excluded role and members who opted out of Insights are never counted.

How many win-back DMs can it send?

Up to 5 a day on the Free plan and 25 on Pro, and never more than your own daily cap in the settings. See pricing.
