Version 1.5 · Effective 11 October 2026
This Privacy Policy explains how BotGG handles personal data when you use the BotGG Discord bot, the console at https://console.botgg.app, the website at https://botgg.app and related services (the "Service"). It is written to meet:
- the Israeli Privacy Protection Law, 5741-1981, as amended (including Amendment 13, in force since August 2025), and the Privacy Protection (Data Security) Regulations, 5777-2017;
- the EU General Data Protection Regulation ("GDPR") and the UK GDPR;
- the California Consumer Privacy Act as amended by the CPRA ("CCPA"), where it applies;
- the Discord Developer Policy.
Terms such as "Server", "Server Owner", "Member" and "Flows" have the meaning given in our Terms of Service.
1. Who is responsible for your data
1.1. BotGG as controller. The Service is operated from Israel under the trading name BotGG ("we", "us"). We decide how and why personal data is processed, and are the controller (in Israeli terms, the "database owner"), for:
- console accounts and sessions;
- billing and invoicing;
- support requests;
- website visits;
- Server templates (the template gallery);
- security, abuse prevention and service logs;
- the aggregated statistics we use to run and improve the Service;
- BotGG Links (short invite links on https://botgg.click): link records, landing-page visitor statistics, reports about links, and link moderation.
1.2. Server Owners as controllers; BotGG as processor. When the bot processes data about Members inside a Server (for example levels, tickets, moderation cases, applications, birthdays or Flows), it does so because a Server Owner enabled and configured that feature. For that data, the Server Owner is the controller and BotGG is the processor, acting on the Server Owner's instructions under our Data Processing Addendum. If you are a Member and have questions about how a Server uses BotGG, contact that Server's staff first. We will help them respond, and section 11 explains what we do if you contact us directly. The same applies to the tracking pixels a Server Owner adds to a BotGG Links landing page: the Server Owner is the controller of that pixel data and BotGG is its processor (section 4.2).
1.3. White Label. Some consoles and bots run under another brand (a "Tenant") using BotGG technology. The Tenant is responsible for its customers' data and its own privacy notice. BotGG acts as the Tenant's processor or sub-processor.
1.4. Contact.
- Privacy questions and requests: info@botgg.app
- Everything else: info@botgg.app, or our support server at https://discord.gg/DqGaM5wSSp.
The operator's full legal details (name, business number and address) appear on every invoice. We also provide them on written request to info@botgg.app.
1.5. EU and UK representatives.
- EU representative: Not appointed at this time; contact info@botgg.app
- UK representative: Not appointed at this time; contact info@botgg.app
2. Summary
- We only use what the features you enable need. Discord IDs, usernames and avatars are used everywhere. Message content is used only by features that need it.
- We never see your card details. PayPal processes payments.
- We don't sell or share personal data for advertising, and we don't use Discord message content to train AI models.
- Secrets are encrypted. Custom bot tokens, White Label OAuth secrets and Flows credentials are encrypted at rest with AES-256-GCM and are never sent back to your browser.
- Removing the bot starts deletion. When the bot is removed from a Server, that Server's data is deleted after 30 days.
- BotGG Links count visits without storing IP addresses and without cookies. Visitors are counted with hashed IDs that change every day. Tracking pixels that a Server Owner adds to a landing page load only after the visitor agrees.
- You have rights to access, correct, delete and object. Write to info@botgg.app. We answer within 30 days.
3. Where the data comes from
- From Discord, through the Discord API and gateway, with the permissions and intents that Discord and the Server Owner grant the bot. This includes user and server IDs, usernames, display names, avatars, roles, member join and leave events, voice-state events and, only where needed, message content.
- From you, when you sign in, configure features, use commands, buttons and forms, contact support, or buy a plan.
- From Server Owners, who configure features that process Members' data.
- From third-party services that you or a Server Owner connect: PayPal, Google, Twitch, YouTube, Kick, RSS feeds, Riot Games, Steam, and endpoints or databases configured in Flows.
- Automatically, from your browser or device when you use the console or website. This covers technical data such as IP address and user agent in server logs, the session cookie and, only if you allow "Analytics" on the website, Google Analytics cookies (see the Cookie Policy).
- From visitors of BotGG Links landing pages (botgg.click), automatically: the request's IP address and user agent (used to compute a daily visitor hash and never stored), the referring page and any UTM values in the link (section 4.1). Reports about a link come from the person who sends the report form.
You are not legally obliged to give us any personal data. However, without the data a feature needs, that feature, or the Service as a whole, cannot work. For example, you cannot use the console without signing in with Discord.
4. Data we process, why, on what legal basis, and for how long
The tables below list the data we process. "Legal basis" refers to the GDPR (Art. 6(1)):
- (b) necessary for a contract with you;
- (c) legal obligation;
- (f) legitimate interests;
- (a) consent.
Where the Server Owner is the controller, the Server Owner determines the legal basis. Usually it is their legitimate interest in running and moderating their community (f), and we process the data on their behalf.
"Server purge" means deletion 30 days after the bot leaves the Server (section 7).
4.1 Data we control
| Data | Purpose | Legal basis | Retention |
|---|---|---|---|
| Console account: Discord user ID, username, display name, avatar hash, chosen console language, last login time | Sign-in, showing your profile, remembering your language | (b) contract | Until you ask us to delete it, or 24 months after your last login |
| Console session: session ID cookie; server-side session holding your user ID, username, display name, avatar, language and the list of Servers you can manage (ID, name, icon) | Keeping you signed in; checking which Servers you may manage | (b) contract; (f) security | Up to 7 days, or until you log out |
| Console push notifications (only if you turn them on in a browser): the browser's push subscription (the push service's endpoint address and encryption keys), a device label taken from the browser's user agent (for example "Chrome on Android"), the console address it was set up on, delivery status and errors; the events you chose for each Server; notifications waiting to be sent to your devices. A notification contains only a short title and safe details (for example a ticket number or a Flow name), never message content | Sending you the console notifications you asked for | (b) contract | Devices and choices: until you turn notifications off or remove the device, the push service reports the device as gone, or your console account is deleted. Sent and failed notifications: 7 days |
| Discord OAuth access token | Used once at sign-in to fetch your profile and Server list | (b) contract | Not stored; discarded after sign-in |
| Legal acceptance records: Discord user ID, the document and version you accepted (Terms of Service and the policies that are part of them, Privacy Policy, Refund Policy at checkout, and the Custom Bot owner declaration together with the Server ID and application ID), where you accepted it (sign-in, checkout, after an update or during Custom Bot setup), console language, a shortened browser user-agent string and the time. No IP address | Proving which version of our terms you agreed to, and when | (b) contract; (c) legal obligation; (f) establishing and defending legal claims | Until your console account is deleted; checkout acceptances are also kept with the billing records |
| Server records: Server ID, name, icon, owner ID, when the bot joined or left; Server language and time zone; enabled features and their configuration | Operating the bot in the Server | (b) contract with the Server Owner; (f) | Until Server purge |
| Setup message when the bot is added: we read the Discord audit-log entry for the addition to identify who added the bot (otherwise the Server owner), send that person one setup DM (console, support and guides links; never repeated, no follow-ups; skipped if their DMs are closed) and post the same message once in a Server channel. We store only the time it was sent | Helping you set up the bot you just added | (f) | The time sent: until Server purge. The installer's ID is not stored |
| Audit log of console changes: Server, user ID, action, changed settings, time | Security, accountability, dispute resolution and support | (f) security and accountability | 12 months, or until Server purge if earlier |
| Billing: Discord user ID of the buyer; plan, interval and status; PayPal subscription, payer and transaction IDs; amounts and dates; covered Servers; the payment notifications PayPal sends us (these can include the payer's name and email address); invoice and receipt details | Selling and managing subscriptions; issuing tax invoices; preventing fraud; accounting | (b) contract; (c) tax and accounting law; (f) fraud prevention | 7 years after the end of the tax year, as required by Israeli tax and bookkeeping law |
| Usage metering: per-Server daily counters (e.g. Flows runs) | Enforcing plan limits | (b) contract | 13 months |
BotGG referral program: who invited whom (both Discord user IDs), the referral code and its click count, the referral's status, waiting reason and anti-fraud flags, the Server that qualified, the Pro days earned and where they were applied; the list of Servers you can manage at your last login; a salted hash of your IP address at sign-in (never the IP address itself); the botgg_ref cookie (referral code and click time) | Running the referral program; preventing self-referrals and fraud | (b) contract; (f) fraud prevention | Referral records: until your console account is deleted. IP hash: 30 days. Cookie: until you sign in, at most the attribution window (30 days by default). See the Referral Program Terms |
| Server templates: templates you save or publish, which contain only a server's structure (categories, channel and role names and settings, optional starter messages you write, and BotGG feature configuration; no members, member messages or real Discord IDs); your Discord user ID as the author, the author name shown on the template and the Server it was made from; ratings you give (your user ID and stars); reports you send (your user ID, reason, details and outcome); apply jobs for each Server (who started them, the preview plan, progress and result) | Running the template gallery: saving, reviewing, publishing, rating and applying templates. A template published as public is visible to anyone in the public gallery, and an unlisted one to anyone with its link, together with the author name | (b) contract | Templates: until deleted by the author or our staff. Finished capture and dry-run (preview) jobs: 7 days. Apply history: until Server purge. Closed reports: 12 months. When you ask us to delete your data, your published templates stay public with the author removed (no name, user ID or source Server); your other templates and your ratings are deleted |
| Aggregated Server statistics: daily counts of joins, leaves, messages, commands and member count (numbers only, no content and no per-user data) | Showing Server Owners their dashboard; running and improving the Service | (f) | Until Server purge |
| Support: your messages, email address, Discord username, and anything you choose to send | Answering you | (b) or (f) | 24 months after the request is closed |
| Server and security logs: IP address, user agent, requested URL, time and error details from our web server and application. Tokens, secrets, passwords and Authorization headers are redacted in application logs | Security, abuse prevention, debugging | (f) security | Up to 30 days, longer only while investigating a specific incident |
| Public leaderboard rate limiting: IP address, held in memory | Preventing abuse of the public leaderboard API | (f) | About 1 minute, in memory only |
Website: your cookie choices (botgg_consent cookie) and, if you use it, your accessibility-toolbar settings (stored only in your browser); Google Analytics only with your consent (next row); our hosting provider's standard request logs (see "Server and security logs") | Serving the website; respecting your cookie choices | (c) legal obligation (consent records); (f) | Consent cookie: 180 days. Logs: as above |
Website analytics (Google Analytics 4, only if you allow "Analytics"): pseudonymous identifiers (random IDs in the _ga and _ga_<container> cookies); pages visited, the page you came from and visit times; device type, browser, operating system and screen size; approximate location (country, region or city) derived from your IP address. GA4 does not log or store IP addresses: the IP address is used only to derive the approximate location and is then discarded | Measuring how the website is used and improving it. No advertising, remarketing or Google signals, and not linked to your Discord or console account | (a) consent. You can withdraw it at any time with "Cookie settings" in the website footer, which stops measurement and deletes the analytics cookies (see the Cookie Policy) | Google Analytics data: 14 months, then deleted automatically. Cookies: up to 2 years, or until you withdraw consent |
| BotGG Links, link records: the slug (the name after botgg.click/), Server ID, the Discord user ID of the admin who created the link, the dedicated Discord invite code the bot created for the link and its channel, the landing-page settings (title, description, tags, colours, auto-redirect) and any pixel IDs (section 4.2). Staff actions on links (disabling, reassigning or reserving a slug) are recorded in an audit log | Running short invite links and their landing pages; sending visitors only to the link's own Discord invite; moderating links | (b) contract with the Server Owner; (f) safety and abuse prevention | Until the link is deleted, or Server purge. A link is disabled automatically if the bot leaves the Server or the invite is deleted. On a deletion request, the creator's user ID is anonymised |
| BotGG Links, visitor events: for each landing-page view, Join click and join through the link: link ID, event type, time, a visitor hash, the referring domain only (never the full address), a coarse device type, browser family and operating-system family derived from the user agent, the country (only if enabled, see below) and the UTM source, medium and campaign values in the link address. The visitor hash is an HMAC-SHA256 of the IP address, user agent and link ID with a random key ("salt") that changes every UTC day and is deleted after 2 days, so hashes cannot be linked across days or across links. Raw IP addresses are never stored. No cookies are used for this measurement. Joins are counted exactly by the bot's invite tracker through the link's dedicated invite code. Country, where used, comes either from the DB-IP Lite database stored on our own server (no data is sent to DB-IP; IP geolocation by DB-IP, licensed under CC BY 4.0) or from a country header added by the proxy in front of our server; otherwise no country is recorded | Showing the Server's managers (and BotGG staff) statistics for each link: views, unique visitors, Join clicks, joins, conversion rates, trends over 7, 30 or 90 days, top referring domains, countries, devices, browsers, operating systems and UTM campaigns; preventing abuse | (f) the Server Owner's and our legitimate interest in measuring and securing invite links | Visitor events: 30 days. Daily salt: deleted after 2 days |
| BotGG Links, daily statistics: daily counts per link and their breakdowns (by referring domain, country, device, browser, operating system and UTM value). Counts only, no identifiers | Link analytics in the console | (f) | 400 days, or until the link or the Server's data is deleted |
| BotGG Links, reports: the link reported, the reason chosen and the optional details the reporter writes, and the report's status. The reporter's IP address is not stored; the report form's rate limit uses a hash held in memory only | Reviewing reports of misleading, harmful or abusive links | (f) safety and abuse prevention | 12 months after the report is resolved |
BotGG Links, pixel consent: the visitor's choice in the consent banner of a link that uses pixels (botgg_lc_<linkId> cookie on botgg.click, stored in the visitor's browser) | Loading pixels only with consent, and remembering the choice | (c) legal obligation (consent records); (f) | 180 days |
4.2 Data we process for Server Owners (processor)
Features are off by default. A Server Owner enables them. Most rows only apply if the feature is enabled in the Server.
| Feature | Data | Purpose | Retention |
|---|---|---|---|
| All features | Member Discord ID, username, display name and avatar (read from Discord when needed); role and channel IDs | Recognising Members, showing names in the console and in bot messages | Stored only where a feature below keeps a record; otherwise not stored |
| Welcome & goodbye | Member name, avatar and Server name, used to render a welcome card image and message; optional server guide, sent by DM only when the Member presses a button in the welcome message (no DM is sent automatically on join) | Greeting Members | Not stored; the card is generated when needed and posted to Discord |
| Levels | Per-member counters: XP, message count, voice minutes, reactions received, streaks, early-morning and late-night message counts; daily totals; achievements; seasons; card colour. Message content is not stored; messages are only counted. Optional public leaderboard (display names, avatars, levels, no IDs) if the Server Owner turns it on. Members can hide themselves from the public leaderboard (/rank leaderboard:hide) and are then shown as "Hidden member", without name or avatar; we store this "hidden" preference | Levels, rewards, leaderboards | Until reset by the Server Owner, or Server purge |
| Insights (server analytics) | Aggregate counters only: messages per channel per hour, messages and voice minutes per member per day, active members, voice minutes per channel, joins and leaves (with the invite code and inviter that brought the member, when known), boosts and member-count snapshots. Message content is never stored; messages are only counted. Bots are excluded unless the Server Owner turns them on. Members can stop being counted with /insights optout: their per-member counters and join records are deleted at once and we store only the opt-out (Server ID + user ID) so nothing is collected about them again; /insights optin undoes it. Server staff can export the counters as CSV (paid plans) | Server analytics dashboard for the Server's staff | Rolling history per the Server's plan (30 days on Free, 365 days on Pro), deleted automatically every day; Server purge. The opt-out is kept until the member opts back in, or Server purge |
| Reputation | Each thank-you: giver and receiver IDs, amount, how it was given (command, automatic detection, staff, console or API), optional reason, channel and message ID, and revocations (who, when and why); per-member totals. Automatic detection (off by default; needs Discord's Message Content intent) checks message text for thank-you words in memory; the text is not stored | Thanks between Members, leaderboards and rewards | Until reset by the Server Owner, or Server purge. On a deletion request, the rep the person received is deleted and their ID is removed from rep they gave |
| Profiles | Settings a Member chooses for their profile card: bio, pronouns, favourite game, theme and accent colour, an optional background image link (Pro), the blocks they hide, and whether their public web page is on. The card shows data that other enabled features already hold (level, balance, rep, invites, badges, linked games, birthday day and month, join date). Public page: only if the Server allows it and the Member turns it on, anyone with the link can see the Member's display name, avatar, bio, pronouns, favourite game, card look and the blocks the Server allows (never the balance, age or roles) | Member profile cards and optional public profile pages | Until the Member resets their profile, or Server purge. Turning the public page off hides it immediately |
| AFK & highlights | AFK: the reason, start and end time, the original nickname (to restore it), and the mentions received while AFK (who mentioned the Member, channel, message link and, only with the Message Content intent, a short snippet; at most 25 per AFK period). Highlights: the Member's keywords and the members they blocked from triggering them. Messages are matched against keywords in memory (Message Content intent) and the Member gets a DM with the message and a little context; the messages are not stored | Telling others that a Member is away; notifying Members when their keywords come up | Ended AFK periods and their mentions: 24 hours. Keywords and blocks: until the Member removes them, or Server purge |
| Voice-state events (Levels, Insights, Lobbies, Logs, stat channels, Flows) | When a member joins, leaves, moves or is muted in voice; temporary room owner and settings; a member's saved room profile (name, status, region, privacy settings) | Voice XP, temporary voice rooms, logs, counters | Temporary rooms: while the room exists. Profiles: until the member changes them, or Server purge |
| Tickets | Ticket number, opener and staff IDs, subject, form answers, status, times, claim, rating and exit-survey answers, added members. Transcripts on close if enabled: messages (author, text, embeds, time) and attachment details (name, size, type and Discord CDN link; the files themselves are not copied) | Support desk for the Server | Until the Server Owner deletes them, or Server purge. After a deletion request, the person's messages and form answers in transcripts are replaced with "[deleted user]" / "[removed]" (section 7.3) |
| Modmail | Conversations between a Member and the Server's staff, started by a DM to the bot: thread number, the Member's ID and username at the time, topic, status, open and close times, who closed the thread and why; every relayed message: the Member's DM text, staff replies and internal staff notes (author ID, name and avatar at the time; anonymous replies hide the staff member from the Member), edits, and messages the Member deleted (kept and marked as deleted, as evidence); attachment details (name, size, type and Discord CDN link; we do not store the files). Saved replies (snippets) and the Server's block list (user ID, username, reason, who blocked and until when). When a thread closes, a transcript is built from these records and posted to the Server's log channel (and sent to the Member by DM if the Server turns that on) | Private support conversations between Members and the Server's staff | Open threads: while open. Closed threads, with their messages and attachment details: 180 days after the thread is closed, then deleted automatically; a transcript already posted in the Server's log channel is the Server's own copy in Discord (section 7.5). Snippets and blocks: until removed by staff (timed blocks expire), or Server purge. On a deletion request, the Member's own threads are deleted, and messages they wrote as staff on other threads lose their author and content |
| Moderation & AutoMod | Case number, action, target ID and username at the time, moderator ID, reason, duration, evidence links, DM status; lockdown and channel-lock records; daily AutoMod hit counts. AutoMod reads message content in memory to apply the Server's rules; content is not stored in the case unless staff include it in a reason | Moderating the Server, anti-raid | Until the Server Owner deletes them, or Server purge |
| Protection (anti-nuke, anti-raid, phishing links) | Incident records: what happened (e.g. channels deleted, a join burst, a phishing link), the Discord ID of the person who did it or posted the link, the IDs and usernames of accounts listed in a raid alert, the matched phishing domain (never the message or the full link) and what the bot did; raid join signals (account age, whether a profile picture is set, username, invite code) are evaluated in memory and not stored. To check links, message content, embeds and attachment links are read in memory only while the message is checked and are not stored; member usernames and nicknames are checked on join and on change. The public phishing domain lists are downloaded from their publishers; downloading them sends no information about Servers or users | Protecting the Server from nukes, raids and scams | Incident records: 90 days, or Server purge. After a deletion request, the person's ID is removed from incident records |
| Quarantine | When the anti-nuke or the panic button quarantines a member: the member's Discord ID, the IDs of the roles that were removed (so staff can give them back), the quarantine role ID and when it was restored and by whom | Letting staff restore the member's roles after a security incident | While the quarantine is active; restored quarantines 90 days, or Server purge |
| Staff tools | For Members who hold one of the Server's staff roles: roster entry (role, team, since when), duty shifts (start, end, last activity, why the shift ended and who ended it), daily counts of messages in the staff channels the Server chose (counts only, never content) and the state of inactivity alerts. Staff statistics are calculated from records that other features already keep (tickets, cases, applications, appeals, Modmail) | Staff statistics, duty tracking, inactivity alerts and weekly reports for the Server | Ended shifts and message counts: rolling history per the Server's plan (7 days on Free, 365 days on Pro), deleted automatically every day. Roster and alert state: until Server purge |
| Logs | Log entries are posted to the Server's own log channels and not stored by us. With Discord's Message Content intent they can include the text of edited or deleted messages and attachment names. Invite tracking stores, per member, how they joined (invite code, inviter ID, vanity or unknown), join count, join and leave time, and a "new account" flag | Server audit trail, invite statistics | Invite records: until Server purge |
| Invites & Rewards | Per member of the Server: who invited them (inviter ID), how they joined (invite code, personal link, vanity URL or unknown), account creation time (derived from the Discord ID), join, verification and leave times, rejoin count and an invite status (pending, verified, left, fake) with the reason; per inviter: invite counters (total, verified, left, fake, staff bonus, season count); personal invite link codes; which milestone, campaign and season rewards were granted; season results (rank and invite count). No message content; invitees are never contacted | Invite tracking, anti-cheat, rewards, leaderboards and seasons for the Server | Until reset by the Server Owner, or Server purge. When you ask us to delete your data, your own records are deleted and your ID is removed from other members' records |
| Verification | Status, method, reason, join time, deadline, a hash of the current captcha (never the code itself), answers to verification questions (for staff review), reviewer and decision | Protecting the Server from bots and raids | Until Server purge |
| Applications | Applicant ID and answers; a snapshot of username, account creation date, join date, roles and level; staff votes, decision and reason; cooldowns; timeline | Staff and role applications | Until the Server Owner deletes them, or Server purge |
| Ban appeals | Appellant Discord ID and username at the time; the ban it concerns (moderation case number and the ban reason from Discord); answers to the Server's appeal questions; status and decision (reviewer ID, reason, time); the messages between the appellant and staff, and staff's internal notes; a single-use invite link if approved. Shared with that Server's staff only. Appellants sign in with Discord so we can confirm they are banned there | Reviewing ban appeals for the Server | Open appeals: until decided (or auto-closed). Decided appeals: 12 months after the decision, then deleted. Deleted earlier on a deletion request (section 7.3) or Server purge |
| Suggestions | Author ID (hidden in the Server if anonymous), title, details, votes, staff decision and reason | Community suggestions | Until deleted, or Server purge |
| Polls | Question, options, creator, votes (voter ID and choice; anonymous polls hide voters in Discord) | Polls | Until Server purge |
| Starboard | Message and channel IDs, author ID, star counts, and a text preview (up to 300 characters, only with the Message Content intent) and image link | Highlighting popular messages | Until Server purge |
| Giveaways | Host, prize and description, requirements, entrants' IDs and entry times, currency paid to enter (if configured), winners | Running giveaways | Until Server purge |
| Partnerships | The Server's partner list: partner server name, invite, description, representatives' Discord IDs, the advertisement message and the results of automatic invite checks (member and online counts); partnership requests (applicant ID, the invite and a snapshot of the server it leads to, description, status and staff decision); bump reminders (who bumped last and when) | Managing the Server's partnerships and partner ads | Until deleted by staff, or Server purge. On a deletion request, the person's requests are deleted and their ID is removed from partner entries |
| Bank & Shop | Balances, transaction ledger (amount, type, counterparty, reason), daily-claim dates, purchases, inventory, timed roles, fulfilment status | Virtual economy (no real-money value) | Until reset by the Server Owner, or Server purge |
| Temporary roles | Member ID, role ID, where the grant came from (a staff command, the console, the Shop or another feature), who granted it, reason, expiry and warning time, status, and when, why and by whom it ended | Giving roles that are removed automatically when they expire | Active grants: until the role expires or is removed. Ended grants: 30 days, then deleted automatically; Server purge |
| Economy games | Per Member: cooldown times for work, crime, fishing, hunting, robbing and gambling, and daily earning and gambling totals; blackjack hands (bet, cards and result). Coins move through the Bank ledger (see Bank & Shop), including who robbed whom | Virtual-currency games (no real-money value) | Cooldowns and daily totals: until reset by the Server Owner, or Server purge. Finished blackjack hands: 7 days. Ledger: as Bank & Shop |
| Parties & LFG | Event details, sign-ups, roles, bench, attendance; LFG posts and members | Organising events and groups | Until Server purge |
| Events | Event details staff enter (title, description, times, location, cover image link, capacity, roles), recurring series, the linked Discord scheduled event and its "interested" count; RSVPs (Member ID, the answer — going, maybe or not going — where and when it was given, and whether the attendee role was given); co-hosts; the secret token of the Server's calendar (iCal) feed | Planning events and tracking attendance | Until deleted by staff, or Server purge. On a deletion request, the person's RSVPs and host entries are deleted |
| Mini-games | Per Member and game: score, wins, fails, streaks, saves and last play time; daily reward totals (for the daily caps); per channel: the current count or word chain and the last player; trivia and number-guessing games (who started them, the winner and the final standings); custom trivia questions and who wrote them. Counting and word-chain messages are checked in memory (Message Content intent) and are not stored | Games in the Server's channels, leaderboards and rewards | Stats: until reset by staff, or Server purge. Daily reward totals: 3 days. Finished games: 90 days |
| Birthdays | Day and month; optional year (never shown in lists; used for age only if the member chooses to show it); celebration and role grants | Birthday announcements and roles | Until the member removes it, or Server purge |
| Reminders & announcements | Reminder text, time, repeat, delivery (DM or channel); scheduled announcement content | Delivering reminders | Active reminders: until done or cancelled. Completed reminders: 30 days |
| Custom commands & auto-replies | The commands and auto-replies the Server's staff write (names, triggers, responses) and how often each one was used. To match auto-reply triggers, the bot reads message text in memory (Message Content intent); messages are not stored. No per-Member data is stored | The Server's own slash commands and keyword replies | Until deleted by staff, or Server purge |
| Announcements & sticky messages | Messages the Server's staff write (text, embeds, buttons and mentions), schedules, who created or changed them, and the send history (time, channel, status, message link) | Posting the Server's announcements and keeping sticky messages at the bottom of a channel | Messages and schedules: until deleted by staff, or Server purge. Send history: 180 days |
| Role menus, stat channels | Menu and panel configuration; counter templates; member counts | Self-assigned roles; counters | Until Server purge. Stat-channel job queue: 7 days |
| Games | Linked game accounts: platform, account ID (SteamID64, Riot PUUID or Riot ID, or handle), display name, region, verification flag; "games I play" choices; LFG posts. Game statistics are fetched live from Steam or Riot (League of Legends; VALORANT lookups are currently disabled) and cached for about 10 minutes. The Riot Games notice (section 14) is also shown in the bot's stats output | Profiles, stats, game roles, LFG | Links: until the member unlinks, or Server purge. Stats cache: about 10 minutes |
| Social alerts | The accounts or feeds a Server follows (Twitch, YouTube, Kick, RSS): public channel name, ID, avatar and URL; alert settings; history of posted alerts (title, link, time). Data is retrieved only through the platforms' official APIs (Twitch API, YouTube Data API, Kick's official API) and, for other websites, RSS/Atom feeds | Posting stream and video alerts | Subscriptions: until removed, or Server purge. Alert history: 90 days (data from YouTube API Services: 30 days). Twitch and Kick stream titles are deleted after 24 hours; IDs, link and times are kept until the 90-day deletion |
| Integrations (Patreon, Ko-fi, GitHub, Reddit, RSS) | Patreon: the campaign's access tokens (encrypted), for each patron the Patreon user id, membership status, entitled tiers, pledge amount, the roles BotGG gave and — when the member links their account or connected Discord on Patreon — the Discord user id. Ko-fi: the verification token (encrypted); for each payment the type, amount, currency, the supporter's display name and message (only for public payments), tier name, and the supporter's Discord id / name when they connected Discord on Ko-fi; email addresses are never stored — only a keyed one-way hash per server, used to recognise later payments of a linked supporter; one-time claim codes. GitHub: a webhook secret (encrypted) and short summaries of repository events (repository, branch, commit messages' first lines, issue / pull request titles, GitHub user names). Reddit / RSS: the feed address and the ids of items already posted | Supporter roles, announcements, coins and feed posts configured by the Server's staff | Event history 30 days; claim codes 7 days; patron records and account links while the integration is connected; Server purge. A member's own records are deleted on request |
| AI assistant & Translation (optional, off by default) | The text needed for the task is sent to our AI provider (Anthropic) and the result is posted in Discord: questions asked to the assistant (with the asker's display name); the Server's FAQ, rules and imported pinned messages (knowledge base); the last messages of a ticket (author display names and text, up to 100) when staff request a summary; message text in channels where the Server turned on AI moderation help or automatic translation; messages a member chooses to translate. We don't store these texts, the answers or the translations, only daily usage counters | Answers, ticket summaries, moderation suggestions (a human moderator decides) and translations for the Server. AI answers are labelled as AI answers and can be wrong | Knowledge base until the Server deletes it; IDs of mirrored translated messages 14 days; an in-memory translation cache of up to 1 hour; Server purge |
| Backups | Snapshot of the Server's structure: roles, channels, categories, permission overwrites, settings, emoji and sticker metadata and BotGG configuration. Optional message archive of up to 100 recent messages in up to 10 chosen channels: author name and avatar, text, attachment links. Job history | Backup and restore | Until deleted by the Server Owner, by rotation (scheduled backups), or Server purge. Job history: 7 days. After a deletion request, the person's messages in message archives are replaced with "[deleted user]" / "[removed]" (section 7.3) |
| Flows | Workflow definitions; encrypted credentials (API keys, tokens, passwords, Google service-account keys, MySQL logins); webhook tokens; execution history (trigger summary, per-step inputs and outputs, errors). This can include any data your Flow handles: message content, member data, and HTTP, Google Sheets or MySQL responses. The "Send DM" action is limited to 50 DMs per Server per hour, and in scheduled, webhook and looped flows it can only message the Member who triggered the flow | Running your automations | Credentials and workflows: until deleted, or Server purge. Execution history: 1–90 days, as set by the Server Owner (default 14 days), at most 200 runs per workflow |
| Incoming Flows webhooks | The request body, query and headers sent to a Flow's webhook URL. We drop cookies, authorisation headers and IP-forwarding headers before processing | Triggering your Flow | As execution history |
| Developer API, outgoing webhooks and MCP connections | API keys: name, permissions (scopes), a hash of the key (the key itself is shown once and not stored), who created or revoked it, last use and expiry; saved responses for repeated requests (idempotency). Outgoing webhooks: the endpoint address, the chosen events, an encrypted signing secret, delivery status, and a delivery log with the content of each event (which can include Member IDs and other event details). MCP connections (AI apps that a Server manager connects through OAuth): the app's registration (name, website, redirect addresses), the connection (the Discord user ID of the manager who approved it, the Server, the permissions, last use and revocation) and hashed access and refresh tokens. Failed sign-ins to the API are rate-limited per IP address using a keyed hash, never the address itself | Letting the Server's own systems and AI apps work with BotGG | Keys, webhooks and connections: until revoked or deleted by a manager, or Server purge. Webhook delivery log: 30 days. Saved responses: 24 hours. MCP: expired tokens 1 day after expiry; revoked connections 30 days after revocation; a connection ends when the approving manager loses Manage Server or their console account is deleted. Rate-limit counters: 1 day |
| Custom Bot | Your Discord application ID, bot user ID, name and avatar, the encrypted bot token, status and presence settings; your acceptance of the owner declaration (Server ID, application ID, time and browser details), recorded in our legal acceptance records | Running the Server on your own application | Until you remove it, or 30 days after the add-on ends. Declaration acceptance: as legal acceptance records (section 4.1) |
| White Label | Tenant name, slug, domains, branding (product name, logos, colours, support URL, footer), the Tenant's Discord OAuth client ID and encrypted client secret; End Customers' data as in the other rows | Serving the Tenant's branded console and bots | For the life of the Tenant plan, then 30 days. A Tenant whose plan never started: 90 days after it was created |
| BotGG Links pixels (Pro) | Pixel IDs the Server Owner enters (IDs only, never scripts) for Meta (Facebook) Pixel, Google Analytics 4 / Google tag, TikTok Pixel, X (Twitter) Pixel, Reddit Pixel and Snapchat Pixel. On the landing page of a link that uses pixels, a consent banner says that the page uses tracking set up by that Server after the visitor's consent. Only after the visitor consents (Google Analytics G- IDs under "Analytics"; Google Ads AW- IDs and the Meta, TikTok, X, Reddit and Snap pixels under "Marketing") does the visitor's browser load the chosen tags, which record a page view and, when the visitor presses Join, a lead / join-click event. These providers receive data (for example IP address, browser details, the page address and their own cookies) directly from the visitor's browser, under their own terms and the Server Owner's account settings; BotGG does not receive or store what they collect. Legal basis: the visitor's consent (a), which we collect on the Server Owner's behalf. Links without pixels show no banner and load no pixels | Measuring and advertising the Server's invite campaigns, as chosen by the Server Owner | Pixel IDs: until removed, the link is deleted, or Server purge. Data collected by the providers: as set by the Server Owner with each provider |
4.3 Israeli law notice
Under section 11 of the Israeli Privacy Protection Law:
- you are not legally obliged to provide the data;
- providing it depends on your wishes and consent;
- the data will be kept in our databases and used for the purposes above;
- it will be transferred only to the recipients described in section 5.
5. Who receives personal data
We share personal data only as follows. We do not sell personal data, and we do not "share" it for cross-context behavioural advertising.
- Service providers (sub-processors) that host, send or process data for us under contract: our hosting provider, email provider and invoicing service; Anthropic, which provides the AI models behind the AI assistant and Translation features when a Server enables them; and, on the website and only with your consent, Google (Google Analytics). See the Sub-processors list.
- Discord, the platform the Service runs on. Everything the bot does in Discord is processed by Discord under its own privacy policy.
- PayPal, which processes payments as an independent controller under its own privacy statement.
- Third-party APIs, only when a feature needs them. For example, a Riot ID is sent to Riot Games to fetch stats, a Twitch login to Twitch, a Kick channel to Kick, and a YouTube channel to Google (through the YouTube Data API). When a Server Owner connects Patreon, Ko-fi, GitHub, Reddit or a feed in the Integrations hub, BotGG receives the data listed in section 4.2 from that service under the service's own terms and privacy policy; BotGG sends it nothing beyond the requests needed to read that data (Patreon: OAuth and campaign / member reads; Reddit / RSS: public feed requests).
- Destinations you configure. When you or a Server Owner set up a Flow, the data it sends goes to the HTTP endpoints, Google Sheets and databases they choose. Those recipients are chosen by, and are the responsibility of, the person who configured them.
- Other Members and the public, where a Server Owner configures it: for example messages in the Server, and a public leaderboard showing display names, avatars and levels (Members who hid themselves appear as "Hidden member").
- Anyone, for Server templates you publish. A template published as public appears in the public gallery with its author name, and an unlisted one can be opened by anyone who has its link (section 4.1).
- White Label Tenants, for their own End Customers' data.
- A Server's managers, for BotGG Links. People who can manage a Server in the console see the statistics of that Server's links (counts and breakdowns, never IP addresses). Anyone who opens a link sees its public landing page (Server name, icon, banner, the texts the Server set, and member and online counts).
- Advertising and analytics providers chosen by a Server Owner (Meta, Google, TikTok, X, Reddit, Snap), only on BotGG Links landing pages where the Server Owner added their pixel, and only after the visitor consents. They receive data directly from the visitor's browser, under their own terms. They are the Server Owner's providers, not our sub-processors (see the Sub-processors list).
- Authorities, courts and advisers, when the law requires it, to protect rights, safety and the Service, or to enforce our Terms (see our law-enforcement policy).
- A buyer or successor, if the Service is sold, merged or reorganised, under confidentiality and with this Policy continuing to apply.
6. International transfers
6.1. Our servers are located in data centres in Germany (European Union), and the Service is operated from Israel. The European Commission and the UK recognise Israel as providing an adequate level of data protection.
6.2. Some recipients are in other countries, especially the United States (for example Discord, PayPal, Google, Twitch, Riot Games and Valve). Where the GDPR or UK GDPR applies and the destination has no adequacy decision, we rely on one of the following:
- the European Commission's Standard Contractual Clauses (and the UK Addendum);
- the recipient's certification under the EU-U.S. Data Privacy Framework (and the UK Extension);
- another lawful mechanism.
Transfers out of Israel comply with the Privacy Protection (Transfer of Data to Databases Abroad) Regulations, 5761-2001.
6.3. Some transfers are made because you or a Server Owner asked for them, for example by connecting a Flow to a server in another country, or following a channel on a foreign platform. In those cases the transfer is necessary to provide the requested service. 6.4. Google Analytics. If you allow "Analytics" on the website, the data described in section 4.1 is collected by Google Ireland Limited and may be transferred to and processed by Google LLC in the United States. Google LLC is certified under the EU-U.S. Data Privacy Framework (and the UK Extension), and Google's data processing terms also include the Standard Contractual Clauses. 6.5. BotGG Links pixels. If a visitor consents to the pixels on a BotGG Links landing page, the visitor's browser sends data directly to the providers the Server Owner chose (section 4.2), which may process it in the United States or other countries. The Server Owner, as controller, is responsible for its arrangements with those providers.
7. Retention and deletion
7.1. We keep personal data only for as long as the periods in section 4 require. When a period ends, we delete the data or irreversibly anonymise it.
7.2. When the bot is removed from a Server, we mark the Server as left and keep its data for 30 days, so an accidental removal or a temporary kick can be undone by re-adding the bot. After 30 days, we delete all of that Server's data, including:
- settings and levels;
- tickets and transcripts;
- cases and backups;
- Flows and credentials;
- the audit log of console changes.
Exceptions:
- billing records, which we must keep by law;
- a Server that has a Custom Bot add-on or plan: its data is kept while that add-on or plan is active, even if the Custom Bot is not currently running, and is deleted 30 days after the add-on or plan ends (or 30 days after the bot is removed, whichever is later).
7.3. Server Owners can delete many records earlier in the console, for example transcripts, backups, suggestions, cases, Flows, credentials, levels and bank resets. Members can remove their own birthday, game links and reminders with bot commands.
When we act on a request to delete a person's data (section 11), we also scrub that person from ticket transcripts and backup message archives: their messages keep their place, but the author is shown as "[deleted user]" and the content is replaced with "[removed]" (their ticket form answers are removed too). We also delete Flows execution history that references them. In Modmail, their own threads are deleted, and messages they wrote as staff on other threads keep their place without author or content. Server templates they published stay public, with their name, user ID and source Server removed; their other templates and their ratings are deleted.
7.4. We take a full backup of our database every day and keep each backup for 14 days. Deleted data can therefore remain in a backup for up to 14 days, until that backup is deleted.
7.5. Messages the bot has already posted inside Discord (for example log entries, alerts, cards and announcements) live on Discord. Only the Server's staff or Discord can delete them, and we do not control them.
8. Security
We use technical and organisational measures appropriate to the risk, as required by the Israeli Data Security Regulations and the GDPR. They include:
- HTTPS for the console, website and API;
- encryption at rest with AES-256-GCM for custom bot tokens, White Label OAuth client secrets and Flows credentials, which are never returned to the browser;
- sessions: HTTP-only, secure, SameSite session cookies that are regenerated at sign-in, with protection against forged sign-in callbacks (OAuth
state); - minimal OAuth scopes (
identify,guilds), with the access token discarded after sign-in; - access control: console actions on a Server require that Discord reports you as able to manage it and that the bot is present; changes are recorded in an audit log;
- outbound-request protection for Flows and other user-supplied URLs: we resolve addresses and block loopback, private, link-local, carrier-grade NAT, multicast and cloud-metadata addresses, and apply timeouts and size limits;
- input validation, request size limits and rate limits; signature verification of PayPal webhooks;
- security headers (including a Content Security Policy);
- data minimisation, for example storing a hash rather than the captcha code, never storing OAuth tokens or card data, and redacting tokens, secrets, passwords and Authorization headers in application logs;
- restricted administrative access to production systems;
- daily database backups, kept for 14 days on the production server, in files that only the system administrator account can read. They are not separately encrypted, and an off-site copy is planned but not yet in place.
No system is perfectly secure. We cannot guarantee that data will never be accessed, disclosed or lost. You also play a part: keep your Discord account secure, and keep your webhook URLs and credentials secret.
9. Security incidents and breach notification
If we become aware of a personal-data breach, we will:
- act to contain it and assess the risk;
- report it, where required, to the Israeli Privacy Protection Authority (including severe security incidents under the Data Security Regulations) and, where we are controller and the GDPR applies, to the competent supervisory authority within 72 hours;
- inform affected people without undue delay where the breach is likely to result in a high risk to them;
- when we act as processor, notify the affected Server Owners or Tenants without undue delay (see the DPA).
10. Children
- The Service is not directed at children under 13. Discord itself requires users to be at least 13, or older in some countries.
- We do not knowingly collect personal data from children below that age. If we learn that we have, we will delete it.
- Where we rely on consent and you are below the age of digital consent in your country (up to 16 in the EU), a parent or guardian must consent.
- Paid plans require the buyer to be 18 or to have a parent's or guardian's consent.
- If you believe a child's data is being processed, contact info@botgg.app.
11. Your rights
11.1. Depending on where you live, you may have the right to:
- access your data and receive a copy;
- correct inaccurate data;
- delete your data;
- restrict or object to processing, including processing based on legitimate interests;
- data portability;
- withdraw consent where processing is based on consent, without affecting past processing;
- not be subject to solely automated decisions with legal or similarly significant effects;
- lodge a complaint with a supervisory authority. In Israel this is the Privacy Protection Authority. In the EU/UK it is the authority where you live or work.
Under the Israeli Privacy Protection Law you have the right to access your data (section 13) and to ask for it to be corrected or deleted (section 14).
11.2. How to exercise them. Email info@botgg.app from any address, and tell us your Discord user ID or username and what you want. To protect you, we verify that the request comes from the account holder. For example, we may ask you to sign in to the console with Discord, or to confirm from your Discord account. You may use an authorised agent where the law allows; we may ask for proof of authority. We reply within 30 days. Where the law permits, we may extend this for complex requests, and we will tell you why. Requests are free unless they are manifestly unfounded or excessive.
11.3. Data held for a Server. Where we process your data as a processor for a Server Owner (section 4.2), we will do one of the following:
- forward your request to that Server's owner;
- act on it where the Server Owner has authorised us to, or where the law requires us to.
Some data may be kept where the Server Owner has a lawful reason, for example records of moderation actions against rule-breaking. You can also remove some data yourself (section 7.3), or leave the Server.
11.4. Automated moderation. Server Owners can configure automated features, such as AutoMod, anti-raid, account-age checks and captcha verification, that may time out, kick or restrict members automatically. These are the Server's decisions made through our tools. If you think such an action was wrong, ask the Server's staff to review it.
11.5. California (CCPA). Where the CCPA applies:
- In the last 12 months we collected these categories of personal information for the business purposes in section 4:
- identifiers (Discord IDs, usernames, IP address);
- commercial information (subscriptions);
- internet or network activity (logs, bot interactions);
- the content of communications, only as configured.
- We disclose them only to the recipients in section 5.
- We do not sell or share personal information, and do not use or disclose sensitive personal information to infer characteristics. Pixels on BotGG Links landing pages are added by Server Owners, load only with the visitor's consent, and are the Server Owner's responsibility (section 4.2).
- You have the right to know, delete and correct your data, and to non-discriminatory treatment. You can exercise these rights as in section 11.2.
12. Discord data and platform commitments
In line with the Discord Developer Policy, we:
- access Discord data only through Discord's official API, with the permissions granted by users and Server Owners, and use it only to provide and secure the Service;
- request only the data and permissions that the enabled features need. For example, the Message Content intent is used only by features that must read messages: AutoMod, logs, tickets, backups archives, starboard previews, message-based suggestions and Flows message triggers;
- do not sell, license or give Discord data to data brokers, advertising networks or any other third party for their own purposes;
- do not use message content to train artificial-intelligence or machine-learning models;
- do not build profiles of users across Servers beyond what the Service's features need;
- delete Discord data when it is no longer needed, when you ask us to (section 11), or when Discord requires it;
- keep Discord API credentials secure and comply with Discord's rate limits and policies.
13. YouTube API Services
Social alerts for YouTube use YouTube API Services to find YouTube channels and to detect uploads and live streams. We retrieve YouTube data only through the YouTube Data API. When you use YouTube features:
- you agree to be bound by the YouTube Terms of Service;
- Google's handling of data is described in the Google Privacy Policy.
What we access and store: the public YouTube channel ID, name, avatar and URL of the channel a Server follows, and the titles and links of new videos or streams.
How we use and share it: only to post alerts in the Server that configured them. We do not share it with anyone else.
Retention: we delete it or refresh it within 30 days, except the channel ID needed to keep the subscription.
Your Google account: we do not access, and do not ask for access to, your Google or YouTube account. If you have ever granted any app access to your Google account, you can review and revoke it at any time at https://security.google.com/settings/security/permissions.
We do not place cookies on your device for YouTube features.
14. Riot Games and Steam
Riot Games: BotGG isn't endorsed by Riot Games and doesn't reflect the views or opinions of Riot Games or anyone officially involved in producing or managing Riot Games properties. Riot Games, and all associated properties are trademarks or registered trademarks of Riot Games, Inc.
Steam: Game data powered by Steam. BotGG is not affiliated with or endorsed by Valve Corporation.
When a Member links a Steam or Riot account, we send the SteamID or Riot ID to that platform's API to verify it and fetch public statistics. Those platforms process the request under their own privacy policies.
15. Cookies
The console uses one strictly necessary session cookie and some browser storage for preferences. The website uses one cookie that records your cookie choices, browser storage for the accessibility toolbar if you use it, and Google Analytics cookies only if you allow "Analytics" in the cookie banner. We use no advertising cookies. BotGG Links landing pages on botgg.click set no cookies of our own, except a consent cookie on links that use pixels; the pixel providers' cookies are set only after the visitor consents, and only on links that use those pixels. See the Cookie Policy.
16. Changes to this Policy
We will post updates here with a new version number and date. For material changes, we will notify you in advance by email, in the console, or on our website or support server.
